Role Overview:
Experienced and proficient Secretary required for part-time hours – 10-12 hours per month, with additional hours required to prepare an Annual Report. This role could potentially be worked in addition to another role.
We are seeking a dedicated and detail-oriented Secretary to support the governance and administrative functions of a Professional Guild. This role is pivotal in ensuring the smooth operation of the committee and compliance with registered charity obligations.
Key Responsibilities:
- Meeting Coordination: Organise and prepare for monthly committee meetings, typically held at 7:30 am, with flexibility for online attendance
- Documentation: Draft, distribute, and maintain accurate records of meeting agendas, minutes, and action items
- Compliance: Ensure adherence to the organisation's rules, charitable obligations, and relevant legal requirements
- Liaison: Act as the primary point of contact between the Chair, committee members, and external stakeholders, facilitating effective communication and information flow
- Reporting: Assist in the preparation and submission of the Annual Report and other necessary documentation
What we’re looking for:
- Proven experience in a governance or administrative role, preferably within a charitable or healthcare organisation
- Strong understanding of committee operations and compliance requirements
- Excellent organisational and communication skills
- Proficiency in document management and virtual meeting platforms
- Ability to work independently and maintain confidentiality
Remuneration: NZD $40–$50 per hour (commensurate with experience)
